1. Scope and roles

This policy applies to the KingDesk platform, public website and authenticated portals. Each subscribing organization is ordinarily the responsible party for personal information it enters, while KingDesk acts as an operator when processing that information to provide the service.

2. Information processed

Account and contact details, organization and employment records, tickets, jobs, attendance events, photographs supplied as operational proof, device and security metadata, location records where a location-enabled feature is used, billing records, communications and audit activity may be processed.

3. Purpose and lawful processing

Information is used to deliver contracted services, authenticate users, dispatch and evidence work, support customers, process billing, prevent abuse, comply with legal duties and improve reliability. Organizations must ensure they have an appropriate lawful basis and give their personnel and customers required notices.

4. Sharing and processors

Information is disclosed only where required to operate the service, complete an authorized transaction, deliver email or SMS, provide infrastructure, respond to lawful process or protect legitimate security interests. Service providers are limited to the information necessary for their function.

5. Retention and deletion

Operational records follow configured or statutory retention periods. Live notifications move to a controlled archive after 90 days. Backups may remain for a limited disaster-recovery period. Deletion requests remain subject to contractual, accounting, employment and legal-preservation duties.

6. Your rights

Subject to applicable law, a data subject may request access, correction, objection, restriction or deletion through the organization responsible for the information. Identity may be verified before a request is fulfilled.
